How can we help?

Step-by-step guides for everything in notify.bg – from the first base to calendars and online booking.

Getting started

What notify.bg is and how to set it up in a few minutes.

notify.bg keeps your customers, policies, appointments or deadlines in bases and sends SMS and e-mail reminders for them automatically.

  • Workspace – your company, office or team. It has its own bases, members, plan and credits.
  • Base – a table, e.g. “Customers” or “Policies”. You decide what columns (fields) it has.
  • Record – one row of the base, e.g. one customer with a phone and an expiry date.
  • Automation – a rule that sends messages by itself, e.g. “SMS 7 days before the policy expires”.
  • Calendar – the records with a date can be shown in Google Calendar, Apple Calendar or Outlook.

Start from a ready-made template – it creates the fields and a sample automation for you.

  1. 1 Sign up with an e-mail or with Google / Facebook.
  2. 2 Create a workspace and choose its time zone – reminders are sent by it.
  3. 3 Create a base from a template or empty, and add the fields you need (name, phone, date…).
  4. 4 Add records one by one or import them from Excel (CSV/XLSX).
  5. 5 Create an automation under “Automations” – choose when, how and what to send.

Use “Preview with the latest record” in the automation to see the exact message before it goes out.

  • You can sign up with an e-mail and a password or with one click through Google or Facebook.
  • Forgot your password? Click “Forgot your password?” on the login page – you will get a link to set a new one.
  • Invited to a team? Open the link from the invitation e-mail and log in or sign up with the same e-mail.

Workspaces and team

Companies, offices, members and their rights.

Every workspace is separate: own bases, team, plan and SMS / e-mail credits. You can have several and switch between them from the menu at the top left.

  1. 1 Open the menu with the workspace name and choose New workspace.
  2. 2 Enter a name (e.g. “Plovdiv office”) and the time zone.
  3. 3 Rename it, change the time zone or delete it from the Settings tab of the workspace.

Deleting a workspace deletes all its bases, records and automations. This cannot be undone.

All dates and times of the workspace are shown in its time zone. Automations use it too – for “today”, “in 7 days” and for the sending time window.

In the workspace settings click “Use the browser’s time zone” to set it with one click.

  1. 1 Open Team in the menu on the left.
  2. 2 Click Invite a member, enter their e-mail and choose a role.
  3. 3 They get an e-mail with a link to join. Until then the invitation is under “Pending invitations”, where you can revoke it.
  • Owner – manages bases, fields, automations, the team and the plan.
  • Contributor – adds and edits records and sends messages.
  • View only – sees the data, but cannot change it.

A member can leave a workspace by themselves from the “Team” tab.

Bases and records

Tables with your data – fields, records, import and export.

  1. 1 In the workspace click New base (or the “+” next to “Bases” in the menu).
  2. 2 Choose a template – e.g. for an insurance broker, a car service or a beauty salon – or Empty base.
  3. 3 Enter a name and, if you wish, tick Add sample records to try it out.

In the base settings (the gear icon) you change the name, description, colour and icon, duplicate the base or delete it.

Click Fields at the top of the base to add, rename, reorder or delete columns. The type decides how the value is entered and checked:

  • Text, Long text – names, notes, registration numbers.
  • Number, Amount – quantities and prices.
  • Phone, E-mail – needed to send SMS and e-mail. Phones are saved in international format.
  • Date, Date and time – deadlines and appointments; automations and calendars work with them.
  • Choice (single), Labels (multiple) – a list of options, e.g. status or category.
  • Checkbox (yes/no), Rating, Link, Contributor (a member of the team).
  • Appointment booking – free slots that customers book through the public form.

Mark a field as required, hide it from the table or from the public form, and add a hint under it in the form.

Changing the type converts the existing values. Values that do not fit the new type are cleared.

  • New record at the top right adds a row. Click a row to open and edit it.
  • The search box looks through all fields at once.
  • Filters show only the records that match conditions, e.g. “Status is Active”.
  • Click a column header to sort by it.
  • Inside a record you see the history of the notifications sent for it.

  1. 1 Click the upload icon at the top of the base (Import CSV/XLSX).
  2. 2 Choose the file – up to 10 MB, the first row holds the column names.
  3. 3 Match every column of the file to a field of the base (or “— not imported —”).
  4. 4 Choose what to do with existing records – always add new ones or update the records with the same phone, e-mail etc.
  5. 5 Click Run import and check the report: new, updated and skipped rows.

Dates like 31.12.2026, phones like 0888 123 456 and amounts like 1 250,50 are recognised automatically. A CSV saved from Excel in Cyrillic is read correctly too.

The easiest way is to export the base, fill in the file and upload it back.

The download icon at the top of the base saves all records as a CSV file that opens in Excel or Google Sheets.

  1. 1 Open the base settings (the gear icon).
  2. 2 Turn on Public form and enter a title and description.
  3. 3 Copy the link and share it – on your site, in social networks or in a message.

Everything filled in the form is added as a new record. Fields hidden from the form are not shown to customers.

Automations and messages

Automatic SMS and e-mail reminders and reports.

  • Reminder to the customer (SMS / e-mail) – a personal message to every record whose deadline is coming up.
  • Report: records with an upcoming deadline – a periodic list for the team.
  • Report: overdue records – everything whose deadline has passed.
  • Report: changed in the last 7 days – a summary of the edited records.
  • Notification: new record – the team learns about new records (checked every 15 min).
  • Report: custom filter – records by conditions you set.

Reports go to the team members you choose – by e-mail, SMS or as an in-app notification (the bell icon).

  1. 1 Open the base and go to Automations → New automation.
  2. 2 Choose the type Reminder to the customer and the deadline field (e.g. “Expiry date”).
  3. 3 Set Days before the deadline – e.g. 7. Tick “Repeat the reminder until the deadline passes” if you want more than one message.
  4. 4 Choose the channels – SMS and/or e-mail – and the fields with the phone and the e-mail of the customer.
  5. 5 Write the message. Use fields from the record such as {{name}} and {{due_date}}.
  6. 6 Set the sending time window, e.g. from 9 to 20 o’clock, so nobody gets messages at night.
  7. 7 Save. The automation is active right away – you can pause it at any time.

Additional conditions send the reminder only to some records, e.g. only when “Status” is “Active”.

Alternative message – a different text for the records where a yes/no field is ticked.

“Run” sends real messages right away. Use the preview first.

Write the key of a field in double curly brackets and it is replaced with the value of the record:

  • {{name}} – the value of the field with key “name” (every field has its own key).
  • {{due_date}} – the deadline as a date, e.g. 31.12.2026.
  • {{due_datetime}} – the deadline with the time, e.g. 31.12.2026 10:30.
  • {{base}} – the name of the base.

Try it: click a field to add it to the text

The customer receives

An empty field leaves nothing behind – the extra spaces are removed.

One SMS in Latin holds 160 characters. With Cyrillic (or signs such as „“ – …) it holds only 70. A longer message is split into parts – 153 or 67 characters each – and every part costs one SMS credit.

SMS parts (credits)

Encoding

Turn on “Transliterate SMS to Latin” in the automation – the text is sent in Latin letters and costs up to twice less.

  1. 1 Open the record (click its row).
  2. 2 In Send a message choose SMS or E-mail.
  3. 3 Write the text – fields such as {{name}} work here too – and click Send.

Under the text you see the number of characters, SMS parts and the remaining credits.

  • Sent notifications in the menu – all messages of the workspace with recipient, channel and status. Filter them by channel.
  • History of a base – the sent messages and the actions of the team (who added or changed what).
  • Inside a record – the messages sent for that record only.

A failed message shows the reason, e.g. an invalid number. Fix the number in the record – the next reminder will go out.

With no credits left the reminders wait and go out once you buy credits.

Calendars

See the records in Google Calendar, Apple Calendar or Outlook.

Every base with a Date, Date and time or Appointment booking field can be shown in a calendar. Open the base and click the calendar icon at the top right.

  • Subscribe to the calendar (link) – works with Google Calendar, Apple Calendar (iPhone, Mac) and Outlook. The calendar app checks for changes by itself.
  • Sync with Google Calendar – the records are added to your Google calendar as events and updated within a minute of every change.

Where do you want to see the records?

  1. 1 In the calendar panel of the base click Add to Google Calendar.
  2. 2 Google Calendar opens and asks “Add calendar?” – confirm with Add.
  3. 3 The calendar appears under “Other calendars” on the left. From there you change its colour and name.

On an Android phone the calendar appears in the Google Calendar app by itself. If you do not see it: Settings → the calendar name → turn on Sync.

Google checks the link every few hours (sometimes up to a day). For changes within a minute use “Sync with Google Calendar”.

Open the full guide
  1. 1 Open the base on the iPhone or Mac and click the calendar icon.
  2. 2 Click Add to Apple Calendar – the Calendar app opens.
  3. 3 Confirm with Subscribe and then Add.

On a Mac choose “Auto-refresh: Every 5 minutes” for the fastest updates.

Open the full guide
  1. 1 Copy the link from the calendar panel of the base with Copy.
  2. 2 In Outlook open Calendar → Add calendar → Subscribe from web.
  3. 3 Paste the link, give the calendar a name and click Import.
Open the full guide
  1. 1 In the calendar panel of the base click Connect Google Calendar.
  2. 2 Choose your Google account and allow access to the calendars.
  3. 3 Back in notify.bg click Choose a calendar and pick the calendar where the events go (e.g. a separate “Appointments” calendar).
  4. 4 With employees, choose whose appointments to add – or “All employees”.
  5. 5 Click Save. The records are added as events in a minute.

The sync is one way – from notify.bg to Google. An event changed or deleted in Google does not change the record; it is restored at the next sync.

Create a separate calendar in Google (e.g. “notify.bg – Appointments”) – so the events of the base do not mix with your personal ones.

Open the full guide
  1. 1 Choose the employee from the list above the buttons.
  2. 2 Send them the link, or add it from their phone – every employee gets their own calendar.

With Google sync each employee connects their own Google account and chooses their name from the list.

Open the full guide

Not sure which one? For a quick look from any device use the link. To see changes right away in Google use the sync.

When the base has more than one date field, the owner chooses which one the calendar uses in Field with the date. Changing it updates the subscribed and the synced calendars.

  • Date – an all-day event.
  • Date and time – an event of 1 hour from the set time.
  • Appointment booking – an event as long as the booked service.

The title of the event is the first other field of the base (usually the name), and the description holds the other filled-in fields.

  1. 1 In the calendar panel of the base click Add to Google Calendar.
  2. 2 Google Calendar opens and asks “Add calendar?” – confirm with Add.
  3. 3 The calendar appears under “Other calendars” on the left. From there you change its colour and name.

If the button does not work: in Google Calendar click + next to “Other calendars” → From URL, paste the copied link and click Add calendar.

On an Android phone the calendar appears in the Google Calendar app by itself. If you do not see it: Settings → the calendar name → turn on Sync.

Google checks the link every few hours (sometimes up to a day). For changes within a minute use “Sync with Google Calendar”.

  1. 1 Open the base on the iPhone or Mac and click the calendar icon.
  2. 2 Click Add to Apple Calendar – the Calendar app opens.
  3. 3 Confirm with Subscribe and then Add.

By hand on an iPhone: Settings → Calendar → Accounts → Add Account → Other → Add Subscribed Calendar → paste the link. On a Mac: Calendar → File → New Calendar Subscription.

On a Mac choose “Auto-refresh: Every 5 minutes” for the fastest updates.

  1. 1 Copy the link from the calendar panel of the base with Copy.
  2. 2 In Outlook open Calendar → Add calendar → Subscribe from web.
  3. 3 Paste the link, give the calendar a name and click Import.

In the Outlook app for Windows: Calendar → Add calendar → From Internet → paste the link.

When the calendar is built from an Appointment booking field with employees, you can choose one employee above the buttons. The link then shows only their appointments.

  1. 1 Choose the employee from the list above the buttons.
  2. 2 Send them the link, or add it from their phone – every employee gets their own calendar.

With Google sync each employee connects their own Google account and chooses their name from the list.

  1. 1 In the calendar panel of the base click Connect Google Calendar.
  2. 2 Choose your Google account and allow access to the calendars.
  3. 3 Back in notify.bg click Choose a calendar and pick the calendar where the events go (e.g. a separate “Appointments” calendar).
  4. 4 With employees, choose whose appointments to add – or “All employees”.
  5. 5 Click Save. The records are added as events in a minute.
  • Every new, changed or deleted record updates the event within a minute.
  • Sync now updates the calendar right away. Below the account you see when it was last synced.
  • You can connect more than one Google account – e.g. for every employee.
  • Disconnect removes the events of the base from the Google calendar.

The sync is one way – from notify.bg to Google. An event changed or deleted in Google does not change the record; it is restored at the next sync.

Create a separate calendar in Google (e.g. “notify.bg – Appointments”) – so the events of the base do not mix with your personal ones.

  • New link – creates a new address; the old one stops working immediately. The calendars subscribed to it stop updating, so add the new one again.
  • Turn off – stops the link completely.
  • Only the owners of the base can create, change or turn off the link. The other members can use the link and connect their own Google calendar.

  • I don’t see the calendar icon. The base has no Date, Date and time or Appointment booking field – add one under “Fields”.
  • The new records are not in Google Calendar. The link is checked by Google every few hours. Wait, or use “Sync with Google Calendar”.
  • A record is missing. Its date field is empty, or the date is more than 3 months back or a year ahead.
  • The hours are shifted. Check the time zone of the workspace and of the calendar app.
  • A red error under the Google account. Access was revoked or expired – click “Connect Google Calendar” again with the same account.
  • Duplicated events. You have both the link and the sync in the same Google account – keep only one of them.

Online booking

Customers book a free slot through the public form.

  1. 1 Under Fields add a field of type Appointment booking.
  2. 2 Optionally add Choice (single) fields for the services and for the employees and link them in the booking field.
  3. 3 Set the working hours for every day, the duration and the customers per slot.
  4. 4 Set how many days ahead customers can book and the notice in hours – e.g. not earlier than 2 hours ahead.
  5. 5 Add closed dates – holidays and leave.
  6. 6 Turn on the public form from the base settings and share the link.
  • Every service can take a different time.
  • Every employee can have own working hours and days off and do only some of the services.
  • Customers can choose an employee or “Any available”.

  • The customer sees a confirmation with the date and time right away.
  • If they entered an e-mail, they get a confirmation with a calendar file (.ics) – one click adds the appointment to their calendar.
  • The owners of the workspace get a notification about the new booking.
  • View schedule at the top of the base shows the bookings week by week.
  • With a calendar link or Google sync the booking appears in your calendar too.

Add an automation “Reminder to the customer” with the booking field as a deadline – an SMS 1 day before the appointment lowers the no-shows.

Plan, credits and payments

Plans, SMS and e-mail credits, invoices.

  • The plan decides the number of records per base, the period of validity and features such as import and export.
  • SMS credits – one credit per SMS part.
  • E-mail credits – one credit per e-mail.
  • The credits belong to the workspace and are shared by all its bases.

You see the plan, its validity and the remaining credits under Plan and payments in the menu. A dot next to it means the plan is expiring.

  1. 1 Open Plan and payments and choose Renew / change plan or Buy credits.
  2. 2 Fill in the invoice details – company, UIC, VAT number and address.
  3. 3 Apply a discount code if you have one.
  4. 4 Click Continue to payment and pay online.

All orders and invoices are in the Orders list on the same page – each invoice can be downloaded.

Account and partners

Profile, password, language, notifications and partner program.

Click your name at the bottom left → Profile. There you change the name, e-mail and phone and set a new password.

Switch the language with BG / EN at the top of the site or in the menu under your name. The e-mails to you follow the language you last used.

Automation reports, new bookings and system messages arrive under the bell icon. A red number shows the unread ones; mark them as read or delete them.

  1. 1 Open Refer and earn in the menu and copy your partner link.
  2. 2 Share it with colleagues and customers.
  3. 3 For every paying customer you get a commission. Withdraw it by bank transfer or as credits.
